How to cross the border by bus: a step-by-step guide for passengers

To successfully cross the border by bus, you will need a valid passport, a ticket, and documents confirming the purpose of your trip or your right to leave.
The procedure itself consists of passport and customs control and requires strict adherence to the rules for transporting items.
The first trip abroad by bus often raises a lot of questions. Even experienced travelers sometimes get nervous when the vehicle approaches the checkpoint.
You start frantically checking your pockets, looking for your passport, and trying to remember if you left a half-eaten sausage sandwich in your bag. The inBus team sees this every day.
We help thousands of people find convenient tickets on our platform and know perfectly well that preparation is the main secret to peace of mind.
Crossing the border is not a lottery, but a clear algorithm. We won't dive into the legal jungle; instead, we will simply and clearly break down each step.
What documents are needed to cross the border
The traveler's basic kit has hardly changed for years. Your main document is a biometric passport. Carefully check its expiration date: it must be valid for at least three months after your planned return date.
Also keep a printed ticket or one downloaded to your smartphone and your medical insurance handy.
Border guards of neighboring countries often ask about the purpose of the trip, so having a hotel booking confirmation, an invitation from relatives, or a return ticket never hurts.
But there are harsh realities that we must speak about directly. For men aged 18 to 60, the rules for leaving Ukraine are strictly regulated by the martial law regime.
Having updated data in the "Reserve+" app on your phone is not an independent ground for departure.
Border guards strictly require a military registration document — paper or electronic with a valid VIN code, as well as a clear mark granting a deferment or removal from the register.
Additionally, originals of documents confirming the grounds for departure are required: birth certificates of three children, a pension certificate, disability certificates, etc.
Without a complete and correctly executed package of documents, you will simply be dropped off at the border.
Traveling with children
Children of any age must have their own passport. Always take the original birth certificate with you — it confirms your family ties.
If a child is traveling only with their mother, a notarized consent from the father to travel abroad is usually not required during martial law.
However, if the child is traveling with a grandmother, aunt, or other relatives, a power of attorney from the parents is a mandatory requirement.
Permissible dimensions and weight of luggage
Most carriers allow you to take one large suitcase weighing 20-30 kg in the luggage compartment and a small backpack or bag up to 5-7 kg in the bus cabin for free. And this is where the fun begins.
The size of your luggage and its contents directly affect how quickly you will pass all stages of border control.
Passport control
The bus enters the checkpoint area. First, you pass the Ukrainian border, then the border of the destination country.
Usually, the driver collects the passports of all passengers and takes them to the border guards. Sometimes the procedure requires your personal presence.
Then everyone gets off the bus and lines up at the terminal. You approach the booth, the officer looks you in the eye, scans your fingerprints, asks questions about the purpose of your visit, and stamps your passport.
Customs control
At this stage, inspectors check your belongings. Customs officers can simply enter the cabin and visually inspect hand luggage.
But often the procedure is more complicated: you will be asked to get out, take your suitcases from the luggage compartment, and put them on the x-ray machine belt inside the customs building.
Sometimes service dogs are involved in the work. If your suitcase is of standard size and you haven't packed anything suspicious, the check takes minutes.
Waiting time
This is the least predictable part of the trip. Sometimes the bus passes both borders in two hours.
But it also happens that there are ten more buses ahead of you, a technical failure occurred in the system, or one of the passengers has problems with their documents. Then the wait can stretch to 6-10 hours.
We advise you to treat this time calmly. Be patient, download a few movies to your phone, and have water and a light snack handy.
Rules of conduct when crossing the border
The border is a restricted area. There are clear rules here, the violation of which will guaranteed cause you problems.
The most important rule: put your phone away. Taking photos or recording videos on the territory of the checkpoint is strictly prohibited.
If a border guard sees a raised camera, you will be forced to delete all materials, and they might even issue a hefty fine.
Stay in your seat until the driver or officer tells you to exit. Do not joke with customs officers about weapons in your backpack or contraband — they will absolutely not appreciate your humor. Answer all questions clearly, briefly, and calmly.
What can and cannot be transported across the border
The requirements of customs officers are based on the economic security of countries. If you are carrying items exclusively for personal use, there will be no problems. But the line between personal and commercial is sometimes thin.
Allowed items
You can freely carry your clothes, one laptop, a couple of phones, a camera. If you take medication, take it in the amount necessary for the duration of the trip.
For prescription drugs, be sure to keep a doctor's prescription with you. As for alcohol and tobacco, strict limits apply for adults.
When traveling by land into the EU, you are usually allowed to bring in only 40 cigarettes (which is exactly two packs) and 1 liter of strong alcohol or 2 liters of wine.
Prohibited items
European customs officers are merciless towards meat and dairy products from non-EU countries. Your homemade sausages, salo, syrniki, butter, or yogurts are guaranteed to go into the trash bin during the check, and you will get a fine for trying to hide them.
It is also strictly forbidden to transport weapons, narcotics, explosives, and cultural property without special permits from the Ministry of Culture.
Useful tips for crossing the border quickly
Prepare in advance. Keep your passport out of its cover in an easily accessible place. Do not hide your money, insurance, or tickets at the very bottom of your backpack.
When the bus approaches the barrier, take off your headphones and listen carefully to the driver's commands — they know what they are doing.
If an inspector asks you to open your suitcase, do it quickly and without unnecessary comments. The faster you show your things, the faster the whole bus will move on.
Specifics of crossing the border on popular inBus routes
Each destination has its own specifics. The Ukrainian-Polish border is traditionally the busiest.
Checkpoints like Shehyni or Krakivets often gather queues, but the infrastructure there is the most developed. Customs officers here work quickly, but they check luggage very carefully for smuggled cigarettes.
Routes to Romania or Moldova are usually faster due to a lower overall volume of traffic. The Slovak and Hungarian borders can be called a golden mean.
When booking a ticket, always consider the day of the week: on Friday evenings, weekends, and on the eve of major holidays, queues are objectively longer in any direction.
